Job Overview - Freelance Site Administrator

We are seeking a detail-oriented and organized Construction Site Administrator to join our team. The successful candidate will be responsible for providing administrative support to the construction site management team, ensuring efficient operation of site activities. This role requires someone with a proactive approach, excellent communication skills, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities

  • Administrative Support:
    • Manage daily administrative tasks including filing, data entry, and correspondence.
    • Maintain and update project documentation, logs, and records.
    • Prepare and distribute site reports, meeting minutes, and other project-related documents.
  • Site Coordination:
    • Coordinate with site managers, subcontractors, and suppliers to ensure smooth site operations.
    • Assist in scheduling and organizing site meetings and inspections.
    • Manage site visitor logs and ensure all visitors comply with site safety protocols.
  • Financial Administration:
    • Assist in the preparation and processing of purchase orders, invoices, and expense reports.
    • Track project expenses and maintain accurate financial records.
    • Liaise with the finance department to ensure timely payment of invoices and resolution of financial issues.
  • Health and Safety:
    • Support the implementation of health and safety policies and procedures on site.
    • Maintain records of safety inspections, incidents, and training.
    • Ensure all site personnel comply with safety regulations and procedures.
  • Communication:
    • Serve as the main point of contact for site communications.
    • Handle incoming and outgoing correspondence, emails, and phone calls.
    • Communicate effectively with internal and external stakeholders.

Qualifications

  • Education:
    • High school diploma or equivalent; additional qualifications in office administration or construction management preferred.
  • Experience:
    • Previous experience in a similar administrative role, preferably within the construction industry.
    • Experience with Tier 1 contractors is highly desirable.
  • Skills and Abilities:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and multitasking abilities.
    • Strong verbal and written communication skills.
    • Ability to work independently and as part of a team.
    • Familiarity with construction management software is a plus.
  • Licenses and Certifications:
    • Valid driver's license is required.
